For years I have been writing
articles about salon, spa and clinic
management software that would help
you make decisions about choosing the right
systems for your business; to ease the admin
load and give wings to your bottom line.
I’m no IT wizard. Nor am I a spa, salon
or clinic manager. But I figured that if I
could understand the pros and cons of your
software management options then it would
be even easier for you.
I have grappled with the topic many
times. I would try to find the holes: “Ah,
but will the software match the availability
of room suitability and therapist skill?
Will it interface with hotel software? Will
it break up all the client data for targeted
marketing? Does it have 24/7 support?”
And then the big one: “How much does
it cost?” In the early days it was thousands!
No wonder so many businesses stuck with
their client cards.
Slowly the costs came down but the tickets
and hardware were still pretty pricey, and
then you had to pay for service and support.
Then began the big argument – whether
to back up your precious data into the
Cloud (not that it was called the Cloud
then) or keep carrying the back-up hard
drive around every night in your car? Was it
safe on the web? What would happen when
the internet went down?
So it’s time for me to check out the latest
offering. It’s a ver y different world now and
if you are still using client cards or driving
the hard drive around, maybe you’re craz y.

I said earlier I considered my job for you
has been working out what the software
options won’t do. I can’t see anything that
this software doesn’t do. And it does a lot more
than I would even think of asking.
Importantly, it helps in the management
of many areas that we are traditionally bad
at; such as inventory management, keeping
track of staff commissions and incentives,
running a profitable web store, pilferage
control and loyalty systems that work.
Then there’s reminder systems – not
just “your appointment is tomor row” but
“ it’s time for you to make an appointment”.
In the past, one of the problems in
making sure software could perform all its
potential functions was the need for the
therapist (or someone else) to enter all the
necessar y data.
Now thanks to mobile phones, and
particularly smart phones, nearly ever yone
is used to entering client data digitally.
Minimal information can be entered to get
maximum data output.
For instance, when the POS handles Ms
Jones’ moisturiser purchase, everything
about it is activated. The inventory registers
the item sold, the cost, profit and tax are
allocated, the salesperson’s commission is
logged, the client reminder to repurchase
activated and all is recorded on the client’s
history along with the therapist’s notes.
The reports to track your business are
thorough and comprehensive; up to the
minute at a glance. The next time someone
says “what percentage of your revenue goes
to labour costs? ” or “what percentage of your
income is made from retail” you will know .

paperless - everything can be handled on an
iPad or a smartphone, even receipts.
The POS works even when the internet
is down and automatically uploads when
it's back on. And all the current rage - the
ability to book appointments directly from
the client’s mobile phone 24/7 straight into
your appointment book with the right room

I have cautioned for so long that if you
want to own your own salon or spa and
be hands on yourself, you are asking for
trouble. You need to work on your business
not in your business.
But maybe with the sophistication of this
technology, that is no longer strictly the case.
Perhaps you can do what you do best and let
the software do the rest! Maybe ...
